Granting Contractors and Consultants Limited Access
Give Contractors and Consultants Access to Support
Modern Retail welcomes outside professionals who support your store, including website designers, developers, IT specialists, agencies, and consultants. Giving them their own Admin Panel account lets them submit support requests and communicate directly with Modern Retail on your store’s behalf.
If they only need to contact Support, you can limit their access by creating a role with Support as its only permission and assigning that role to their account. They can work with Modern Retail without access to other areas of your Admin Panel.
This guide uses a custom role named Consultant. You can choose another name that makes sense for your business, such as Contractor, Website Developer, or an agency name. The permissions you select determine what users assigned to that role can access.
Before You Begin
Sign in with an account that can manage Users and Roles. Create the role first, then assign it when adding the outside person’s user account.
Create a Consultant Role
In the Admin Panel, go to Users → Roles.
Click NEW to create a role.
Enter Consultant as the role name, or use your preferred name.
Add a description, such as Outside businesses and partners.
Save the role.
Your new role will appear in the Roles list. The Permissions link beside it lets you choose which areas of the Admin Panel are available to users assigned to that role.
Limit the Role to Support
Find the Consultant role and click its Permissions link.
On the Permissions tab, click Deny Everything to clear the permissions.
Select Support.
Confirm that Support is the only selected permission. Leave all other areas unchecked.
Click SAVE.
This configuration gives the role access to Support while keeping areas such as Products, Orders, Customers, Reports, Users, and Settings inaccessible.
Create the User and Assign the Consultant Role
Go to Users → Users.
Click NEW.
Complete the New User form using the person’s information:
Field | What to enter or select |
|---|---|
First Name | The person’s first name. |
Last Name | The person’s last name. |
The person’s email address. | |
Phone (Optional) | A phone number, if desired. |
Company | Select the appropriate company for the outside person. |
Type | This is locked to User for an outside consultant. |
Role | Select Consultant, or the name of the role you created. |
Status | Select Enabled to allow access. |
Confirm that the correct role is selected, then click SAVE.
Assigning Consultant applies the permissions you configured for that role. With only Support enabled, the person’s access is limited to the support area. They cannot access user or role settings to change their own permissions.
Create a separate user account for each person who needs access. You can assign the same Consultant role to multiple people who need the same Support permissions.
What the Consultant Will See
When the consultant signs in, their navigation menu will show Support, with these options:
Create Ticket: Submit a support request to Modern Retail on your store’s behalf.
Tickets: Access support requests and continue conversations with Modern Retail.
Resource Center: Find help articles and other resources.
This gives your outside professionals a direct way to get help while keeping their access limited to the Support functions you have authorized.
When Access Is No Longer Needed
When the engagement ends, open the person’s account under Users → Users, change their Status to Disabled, and save the change.
